Reports to: Board of Directors 

Position Type: Full-time, permanent (part-time arrangements may be considered) 

Location: Cedar Grove School, 2590 County Rd 15, Picton, Ontario 

Start Date: As soon as possible



Position Summary

The School Administrator is the senior operational leader of Cedar Grove School, responsible for the effective management of the school’s operations, finances, enrollment, and administrative systems.

Working within the governance framework established by the bylaws and under the direction of the Board of Directors, the School Administrator ensures that the school operates safely, efficiently, and in alignment with its mission, values, and strategic direction.

This role does not hold governance authority but is accountable for implementing Board-approved policies and decisions, supporting organizational sustainability, and maintaining strong operational systems.



Compensation

$55,000 – $65,000 annually, commensurate with experience and qualifications

Key Responsibilities


1. Operational Leadership

  • Oversee day-to-day school operations and administrative systems

  • Ensure safe, compliant, and well-maintained learning environments

  • Manage facilities, health, and safety systems

  • Coordinate operational logistics including staffing coverage and scheduling

  • Ensure efficient internal systems and processes


2. Financial Management

  • Support the development and monitoring of the annual budget

  • Oversee accounts receivable and accounts payable processes

  • Track and report on financial performance and cash flow

  • Ensure appropriate use of financial resources in alignment with Board direction

  • Support financial reporting to the Board and Treasurer

  • Ensure adherence to financial controls and signing authority policies


3. Enrollment & Community Engagement

  • Lead administrative aspects of the enrollment and admissions process

  • Support enrollment strategy and sustainable growth

  • Serve as a representative and ambassador for the school

  • Support marketing, communications, and Open House events

  • Build and maintain positive relationships with families and community partners


4. Staffing & Organizational Support

  • Lead administrative aspects of recruitment and hiring processes

  • Support staff scheduling, coverage, and operational needs

  • Assist in defining administrative role expectations

  • Support staff onboarding and organizational systems

  • Contribute to a positive and collaborative staff culture

  • Support staff wellbeing through operational structures


5. Governance & Board Support

  • Report regularly to the Board of Directors on:

    • Financial performance

    • Enrollment

    • Operations

    • Staffing and organizational matters

  • Support implementation of Board-approved policies and strategic priorities

  • Provide operational data and insights to support Board decision-making

  • Participate in Board meetings as required for reporting and updates

  • Ensure confidentiality and professionalism in all Board-related matters


6. Leadership Council Participation

  • Participate in the Leadership Council alongside Board leadership and school representatives

  • Support alignment between governance, operations, and school life

  • Contribute to communication and coordination across leadership groups

  • Support the review of operational and financial matters


7. Compliance & Risk Management

  • Ensure compliance with all applicable legislation and regulations, including the Ontario Not-for-Profit Corporations Act (ONCA)

  • Support adherence to Board policies and school procedures

  • Identify and manage operational risks

  • Maintain accurate records and documentation

  • Report significant risks or issues to the Board in a timely manner


8. Strategic & Organizational Development

  • Support long-term planning and organizational sustainability

  • Contribute to growth strategies and partnership opportunities

  • Support fundraising and development initiatives

  • Help strengthen the school’s identity and visibility within the community



Qualifications

  • Demonstrated experience in school leadership, operations, or organizational management

  • Strong financial literacy and experience with budgeting and financial oversight

  • Experience working with or reporting to a Board of Directors

  • Strong communication and interpersonal skills

  • Experience in administration, operations, or organizational leadership in an educational setting

  • Familiarity with regulatory and compliance requirements (an asset)

Additional Requirements

  • Legally eligible to work in Ontario, Canada

  • Successful completion of a Vulnerable Sector Check

  • Valid First Aid and CPR certification (or willingness to obtain prior to start date)



Working Conditions

  • Full-time position (part-time may be considered for the right candidate)

  • May require occasional evening or weekend work

  • Active collaboration with staff, families, and Board members


Additional Note: In a full-time capacity, there may be occasions where the School Administrator is required to supervise children or step into the classroom to support operations as needed
